Your digital presence ...
You must have and use an internet domain name with a .Gov.Uk (.Org.Uk is acceptable) extension
You must have a website that attaches to that domain name
You must use that domian name for all your council's email correspondence, including that sent by staff and councillors.
The website must meet accessibility and transparency standards
The website must contain the statutory information required
You must demonstrate that you comply with all data protection regulations
You must have a series of IT policies in place that control the use of all your network communications, computer equipment and software that both the staff and councillors use
Website
Designing, developing and installing an accessible and regulatory compliant website. Assisting with content creation and managment. Providing training, support and documentation.
Domain Names
Organising the registration of an appropriate .Gov.Uk domain name for the Council. Assisting with the maintenance of associated technical records. Assisting with the annual subscription and maintenance of the name.
Cloud services
Organising, installing, configuring then training and supporting your presence on the internet, for the purposes of hosting websites, running your own email services, document and file collaboration plus extra facilities such as on-line meetings.
Collaboration software
Organising and providing the training and support for proprietary email and collaboration software, such as Microsoft 365 Lite or Zoho Workdrive. Managing user and email accounts. Carrying out backups and maintenance.
Policy documents
Organising and then providing training and support with generating content for information technology procurement and use policies for the Council, its staff and Councillors. Special attention paid to the introduction and review of Councillors and Staff using their own computer equipment, known as a Bring Your Own Device policy (BYOD).
Computer equipment and software
Assisting with the acquisition and provision of equipment to the Council, especially firewalls, security devices and compliant in-office equipment. Installation, traing and support services. Help with dedicated laptop equipment for Councillors. Camera systems for remote or hybrid meetings.
